Responsibilities

Operate and drive commercial trucks, ensuring safe and timely delivery of goods.

Load and unload freight, utilizing forklifts and other equipment as necessary.

Maintain accurate logs of driving hours and vehicle inspections in compliance with regulations.

Navigate routes effectively while adhering to traffic laws and safety protocols.

Perform routine maintenance checks on the tractor-trailer and report any issues promptly.

Communicate with dispatch and team members to coordinate deliveries and address any challenges.

Job Summary: We are seeking an experienced, hard-working, and quick-thinking Fleet Assistant to oversee and maintain the operational efficiency of our vehicle fleet. The successful candidate will be responsible for managing the fleet’s inventory, coordinating maintenance, ordering parts, and ensuring all vehicles are in top condition for our rental service. You will also be expected to communicate with mechanics, manage parts ordering, and maintain accurate records for all fleet-related activities.

Key Responsibilities:

Fleet Inventory Management:

Monitor and manage the inventory of all vehicles in the fleet.

Conduct regular checks on the condition of vehicles and ensure that any issues are addressed promptly.

Maintain accurate records of vehicles in service and out of service.

Parts Ordering & Cost Management:

Research and identify cost-effective parts from alternative suppliers, while balancing cost and quality.

Order necessary parts for vehicle repairs and maintenance, ensuring timely deliveries.

Keep track of parts inventory and ensure optimal stock levels.

Communication with On-Site Mechanics:

Coordinate daily tasks with on-site mechanics to ensure timely repairs and maintenance of vehicles.

Ensure that all repair jobs are completed to the highest standards.

Vendor Management:

Send vehicles to external vendors for mechanical repairs or specialized services.

Follow up with vendors to ensure parts are ordered on time and repairs are completed within turnaround expectations.

Daily Reporting & Record Keeping:

Update and maintain daily sheets to track cars sold, parts ordered, and repair progress.

Create daily reports documenting all mechanical jobs completed by the team, including vehicles worked on, repairs, and status updates.

Monitor and document the status of vehicles, including damages and repairs.

Job Planning & Scheduling:

Plan and organize the mechanic team’s daily work, assigning tasks for upcoming maintenance or repairs.

Prioritize jobs based on vehicle usage, availability, and urgency.

Team Support & Lot Management:

Help with the movement of cars within the lot, ensuring efficient organization and accessibility.

Assist in maintaining an orderly and safe environment in the fleet lot.

Fleeting In Cars (Plating & Plate Renewals):

Oversee the process of plating new vehicles, as well as renewing plates and registrations as needed.

Fleet Safety Maintenance:

Ensure that all vehicles meet safety standards and undergo regular inspections.

Ensure that necessary safety repairs are completed in a timely manner to minimize downtime.

Tracking Incoming Loads:

Monitor and track vehicles coming in from other locations to ensure they are properly documented and processed into the fleet.

Key Skills & Qualifications:

Proven experience in fleet management, vehicle maintenance, or a similar role.

Strong organizational and time-management skills to handle a fast-paced, dynamic work environment.

Ability to work independently and solve problems quickly.

Excellent communication skills, both written and verbal, to coordinate with mechanics, vendors, and other team members.

Proficient in using spreadsheets, tracking systems, and fleet management software.

Knowledge of vehicle parts and maintenance procedures.

Strong attention to detail, particularly when tracking inventory and damage assessments.

Ability to prioritize and manage multiple tasks simultaneously.

Physical ability to assist with vehicle movement and lot arrangement when needed.
